Solutions

Know who is qualified, before the auditor asks

Which certificates your people hold, what expires when, and who may do which task. Per site, per person, with the evidence attached.

01The problem

The certificate exists. Nobody knows when it expires.

Most organisations can tell you that their forklift drivers are certified. Fewer can tell you which of them has a certificate expiring next month, whether the new hire at the third site has been through the mandatory onboarding, or where the signed proof of the last toolbox session is filed.

That information usually sits in a spreadsheet maintained by one person, next to a folder of scanned PDFs. It is accurate on the day it is updated and drifts every day after that. The moment it matters is exactly the moment it is out of date: an audit, an inspection, an incident, or a customer asking who worked on their site.

Aristotl keeps qualification and evidence in the same system as the training that produces it. When someone completes what is required, their status updates itself. When something is about to expire, you know before it does.

One view of who is qualified

Per person, per site, per role. Including the people who work at your sites but are not on your payroll.

Expiry before it becomes a problem

See what expires this month and next, per site, and act while there is still time.

Evidence attached, not filed

Completion, dates and the proof document are kept together, so evidence is a filter rather than a search.

02How it works

From completed training to demonstrable competence

  1. 01

    Define what qualifies someone

A course, a checklist signed off on the floor, an external certificate, or a combination of the three.

  2. 02

    Set validity and renewal

Set a validity period per certification. Renewal windows open automatically and reminders go out before expiry.

  3. 03

    Let status update itself

Completion feeds the qualification directly. There is no spreadsheet that someone has to remember to update.

  4. 04

See gaps and expiries in time

Per site and per role, before they turn into an audit finding or an unqualified shift.

05Questions

Questions we get

Certificates issued outside Aristotl (a VCA diploma, a forklift certificate, an external HACCP course) are recorded with issuer, dates and the proof document, and expire in the same overview as the ones you issue.

Participants get a reminder before the deadline and at the deadline. Renewal windows open automatically before a certification expires, and reminders go by email, in-app and mobile push.

Yes. Access follows the structure you set up: head office sees everything, a site sees its own.

Yes, and for many organisations that is the harder half of the problem. People who work at your sites without being on your payroll can be assigned, tracked and evidenced the same way.

Export completion records as CSV. Checklist day logs export as CSV or PDF, including proof, comments, exceptions and corrective actions.

Yes. Publish once for the whole group, or scope a version to a division, region or site.
