WhatsApp or Teams groups vs a training system
Updated
Short answer
Keep WhatsApp or Teams groups for quick coordination: who covers a shift, a delivery running late, a photo of a problem. Use a training system when a procedure has to reach everyone, including people who join later, with a check and a record of who has the current version at each site.
Many frontline sites run on a group chat. The shift schedule goes in, a photo of a broken fridge goes in, and so does the new cleaning procedure, as a PDF or a photo of a page. That works until someone asks who actually knows the new procedure.
What groups do well
A group is the fastest way to reach a shift. Everyone already has the app, messages arrive instantly and replies take seconds. WhatsApp groups can have up to 1024 members. Both WhatsApp and Teams show who read a message: WhatsApp in the message info screen, and Teams through "Read by" in group chats of 20 people or fewer.
For coordination, that is hard to beat: who covers Saturday, the delivery is late, the cooling unit is back up.
What a thread records about a procedure
A procedure change asks for more than a message. Three things are hard to get from a thread:
- Who can do it. A read receipt shows a message was opened. It does not show that the person understood the step, and a reply of "ok" is not a check.
- Which version they have. The procedure lives in the message where it was posted. When it changes, the new version is another message further down, and the old one stays in the history.
- Who joined later. To bring a newcomer up to speed, a WhatsApp group member can send them the pinned messages and up to 100 recent ones. The procedure posted three months ago reaches them only if it is among those, or if someone sends it.
The legal duty to instruct sits with the employer, whatever the channel: the Belgian Codex (art. I.2-21) asks for training aimed at the workstation or function, the Dutch Arbowet (art. 8) for instruction adapted to each worker's tasks. Afterwards, the question is who received which instruction, and when.
The two side by side
| WhatsApp or Teams group | Training system | |
|---|---|---|
| Built for | Fast conversation within a team | One version reaching everyone who needs it |
| A procedure lives in | The message it was posted in | A published version, replaced when it changes |
| Proof of reading | Read receipts per message (in Teams, group chats of 20 or fewer) | Completion per person, site and version |
| Proof of ability | A reply or a reaction | A knowledge check each person passes |
| New starters | In WhatsApp, the pinned and up to 100 recent messages, if a member sends them | Get the current version for their site or team |
| Strongest at | Coordination, quick questions, photos from the floor | Rollouts, onboarding, safety and food safety instruction |
Moving procedures out of the thread
You do not need to replace the group. Keep it for coordination, and give procedures their own home.
A simple split
- List the procedures that currently live in group chats, site by site.
- Publish each one once, as a version with a short check.
- Post a link in the group when a procedure changes, instead of the file.
- Check completion per site before the next shift that needs it.
Where Aristotl fits
Aristotl is built to take the procedure part off the thread. It turns the procedures you already keep into 3-5 minute modules with a knowledge check, in each person's language, reached through a link or QR code per site or team, and shows completion per site and version. The group chat stays where it is, for everything else.
